No More Topping Off The Tank

Last week I announced new and better controls concerning City gas cards. You can read the letter from the Department of Finance. 

Directors of each City Department (or their designee) are now responsible for the maintenance and use of cards in their respective Departments. This will help eliminate theft and abuse.   All City Departments will conduct a physical inventory of all assigned cards were due April 9, 2008.

GasAny cards missing from the physical inventory will be deactivated.  New Fleet Rules limit fueling of vehicles to one time per weekday and will not allow fueling after 7PM. Employees are encouraged to fill their tanks at the close of each workday. Any vehicles requiring an exception must be approved by that Department Director.

Directors will designate “Fuel Card Managers” that will monitor all fuel transactions within their department on the web for daily usage and any irregularities.  Proper maintenance of these transactions will be a part of the responsible parties’ annual job performance evaluation.

All miscellaneous gas cards will have them issued to specific individuals who will be assigned a Personal Identification number. Those assigned a PIN will be directly accountable for all transactions associated with their Gas Card.
